Pediatric Occupational Therapy FAQs

Straight answers on cost, private pay, insurance reimbursement, and what to expect before your child’s first session.

Getting Started

How do I get started?

Call us at (650) 204-0677 or complete our intake form, and our team will follow up to schedule your child’s initial evaluation, the entry point for every family we work with.

How soon can my child be seen? Is there a waitlist?

Because we are a private practice, we are not bound by school district timelines or insurance authorization queues. Evaluations are typically scheduled within a few weeks of your first call.

What happens at the first evaluation, and what does it cost?

Every new client starts with a comprehensive OT evaluation, including standardized testing plus clinical observation, that gives us a clear picture of your child and a plan to move forward. The standard evaluation is $1,260. For children ages 0-3, a basic or playgroup evaluation is $675.

Private Pay & Insurance

Do you accept my insurance?

We are a private-pay practice and do not bill insurance directly. After each session, we provide a detailed superbill you can submit to your insurance for out-of-network reimbursement. Many families with PPO plans recover a meaningful portion of the cost this way.

Why doesn’t TheraPeeps bill insurance directly?

Your child’s needs come first. Staying out-of-network means our clinical recommendations come from what your child actually needs, not what an insurance reviewer will pre-authorize. It also means we can continue offering in-home, in-school, and nature-based sessions that traditional insurance billing usually will not cover, and our team spends session time on your child instead of paperwork.

Can I use my HSA or FSA to pay for sessions?

Yes. Pediatric occupational therapy qualifies as a medical expense, so HSA and FSA funds can be used for evaluations and ongoing sessions.

What does a typical treatment session cost?

Session pricing is based on your location. Families in Mountain View, Los Altos, or Sunnyvale pay $290 per 60-minute session. Families in all other areas pay $320 per session. Group sessions (2 or more children) are $198 per session. Caregiver training and coaching is $145 for the first 30 minutes.

Is there a travel fee?

Travel time is included in your session rate, not charged separately. The $290 rate (Mountain View, Los Altos, and Sunnyvale) includes up to 15 minutes of travel. The $320 rate for all other locations includes up to 30 minutes of travel.

Where can I get detailed help navigating insurance reimbursement?

We have put together a step-by-step Insurance Reimbursement Guide (PDF) covering how to get a physician referral, when your superbill becomes available, the exact questions to ask your insurance carrier about your out-of-network benefits, and how medical necessity is evaluated. It is general guidance, not a guarantee of reimbursement. Coverage depends on your specific plan.

Who We Treat & How We Work

What ages do you work with?

We work with children ages 0-8.

What conditions and concerns do you treat?

Sensory processing differences, children at risk for an autism diagnosis, ADHD, learning disabilities, feeding and oral-motor concerns, developmental delays, and related fine motor, self-regulation, and social-emotional challenges.

Do you use ABA?

No. Our approach is relationship-based and neuro-affirming, grounded in DIR/Floortime, sensory integration, and the Safe and Sound Protocol, building on your child’s own motivation and nervous system regulation rather than compliance-based methods. If your child already works with a BCBA or ABA team, we are glad to coordinate so both approaches support each other.

My child already has an IEP or IFSP through school. Can we still work with you?

Yes. School-based OT is defined by what is “educationally necessary,” which means real sensory, feeding, and developmental needs often fall outside what an IEP covers. Private OT through TheraPeeps fills that gap. With your permission, we are happy to coordinate directly with your child’s school team to keep goals aligned.

Do you work with my child directly, or coach me too?

Both. Carryover between sessions matters, so caregiver coaching, home program design, and sensory space recommendations are part of how we work, not an add-on.
